Status
As this meeting was called at short notice this meeting was unofficial as the time frame of 1 week notice as required by the constitution was not folllowed - but it was a convenient opportunity to meet so we did!

Agenda
The main item was to discuss the official launch activity of the club. It was decided to wait until such time as the club had insurance and affiliation to run this event
The Launch Walk
Date 24th September to be followed by BYO bbq at Hovell Tree reserve. The walk of about 12 to 15 km will be as follows:
- Start at Botanical gardens at 9am
- Padman trail
- Horse show lagoon
- Via Florence trail to (parallel to Florence st)
- Ridge road to Rons trail
- To gorge trail – waterfall
- Waterview trail – detour to lookout
- To reedy dam
- To Ridge road then to monument
- Monument
- Back to Botanical gardens
Total distance around 15km with the potential for a shortcut which is to turn right at ridge trail instead of left shortening the walk by 3km - a BBQ to be held at the main entrance Wodonga place byo food and drinks
Followed by a dinner/bbq at Hovell Tree reserve probably starting around 4pm Lights to be arranged Publicity – the Border Mail – a flyer to be created and to include all details as above plus Time / distance - what age group – all ages Children need to be accompanied by an adultApprox 400m of climbing involved

Contact Albury council – get our name in their info booklets Visitor info centre is standard place we visit
There being no other general business the meeting adjourned
A demonstration of the website event management tools took place and it highlighted issues which Tony is to address.

Business Arising from Previous Meeting
1.The Launch Walk - date and arrangements to be confirmed
The date was set to Sunday Sept 18 meeting at 10am at the Botanical Gardens Albury
2. Name of and Publicity for Launch Walk - to be known as the Murray Valley Bushwalkers Launch. It was proposed that we seek (possibility free) publicity with Southern Cross community noticeboard. Also to contact the free mid week newspaper for publicity.
3. Albury council - arrangements for publicity - Tony reported on conversations had with Simon Mott and Jess Sevil re possible support from Albury Council and promotion via the tourist information centre. Tony to follow up with email exchange of date/time and facilities booking.
4. Flyer for club promotion and for the official walk launch to be prepared by Hans and forwarded to Jess Sevil for discussion on appropriate mode of distribution.
5. It was suggested that we approach ABC radio and border mail with contact details and email addresses of MVB executive members re the launch walk.
6. Proposed that the walk will have 3 options - short, medium or long with separate leaders and that all walks to conclude at Hovell Tree reserve for BBQ
7. Flyer to include advice of post walk bbq to be BYO everything - BBQ's supplied by Albury Council
8. A paper based membership form be available on the day
9. A $5 entry fee be charged on the day but waived in the circumstance where a participant wishes to join the club

1. Department of Sport and Recreation funding submission - Tony
The details of the draft submission were reviewed and various components of the application edited accordingly - a copy of the final submission to be made available on the website for perusal
2. Club policies - development and review
New Leaders - the process of authorising new event leaders was discussed and points made included the need to emphasise the risk management policies of the club during the process of authorisation but that this may well be achieved satisfactorily via a phone conversation between the prospective leader and event coordinator and/or a member of the committee rather than by some formal paper based system. A tried and true strategy is to have a member of the committee join the first walk for guidance and mentoring (co-leader)
David advised that the minimum number of participants of 3 or 4 participants generally decreed in club policies does not necessarily apply as other factors need to be considered particularly with modern communication systems at our disposal.
David also advised we research NSW policies on children particpation in club activities as it may well be different to the policies in Victoria
Discussion ensued re the need for and implications of disclosure of potential health risks of event participants and what the club policy should require. This will need further discussion and a policy developed as soon as possible.
Finally David advised that we dont reinvent the wheel when it comes to club policies and that most clubs develop policies based on what existing clubs have published at least as a starting point.
First aid kits - it was proposed that a policy of encouraging members to bring their own be adopted. Held over to next meeting for further clarification/discussion.
David advised study of Bushwalking Victoria's documents regarding suitable PLB and GPS devices and recommendations regarding First Aid Training.
3. Website report - Tony
Tony reported on recent developments that included security upgrades that have occurred, newsletter creation and distribution, resolution of problems related to booking enquiries, event management documentation being developed
4. Treasurer report - Peter
A new account at the Hume Building Society has been created, and funds in the temporary account transferred. Electronic funds transfer (EFT) has been enabled (requires any two approvals from Hans, Peter and Tony) - no cheque account will be created - payments only to be made by EFT
Membership at 30, payment to Bushwalking NSW for affiliation and insurance has been made, funds outlayed by committee members to get the club established have been reimbursed and we still have money in the bank!
5. Coordinator's report / Activities program - Trish
Some 31 activities including day walks, bird watching and skiing have already been posted on the clubs events calendar and although a number have had to be cancelled or postponed due to weather or unavailability of leaders most have proceeded. There are about 6 event reports available for viewing on the clubs website.
A meeting to be held on Wed 31st aug to review event management procedures.
7. Membership
A problem emerged with the notification of funds transfer from the form on the clubs website - it has since been identified and corrected. Tony to apply for Paypal authorisation as soon as possible as predicted issues with electronic funds transfer (unidentified deposits) have already emerged.
